Setting and calculating price groups

With price groups, you can set the agreements and financial calculations for a performance in advance. For example, you can create different options for a regular show, a festival show, or an acoustic set. When booking, you load the appropriate price group so that amounts, costs, and details for the performance are immediately transferred.

Open the artist and go to the Price Groups tab. Here you will see all created price groups. Choose Add Price Group to create a new option, or select an existing price group to view and edit it.

Settings of a Price Group

Click on a price group and then on Deal Settings to set the basic data.

General

  • Name — the recognizable name of the price group. You will see this name when you select the price group during a booking.
  • Set as default price group — makes this price group the default one used for this artist.

Financial

  • Deal type — choose the type of agreement, for example Buyout, Ticket Deal (Guarantee / Door split), or Landed. You select the deal type when creating the price group.
  • Currency — determines in which currency the amounts of this price group will be displayed and calculated.
  • For a ticket deal, you can also set the guarantee fee, the VAT percentage, and the associated conditions.

Booking

  • Type of performance — indicates what type of booking it is.
  • Set times — set the agreed performance times here.
  • Special conditions for performance — add information related to this price agreement.
  • Riders — link the riders that should be used with this price group when this option is available for your account.

In the financial section of the price group, you also set the amounts for the artist, the VAT, and the booking costs. Booking costs can be a fixed amount or a percentage. You can indicate whether the booking costs are inclusive and whether they are shown to the client. Depending on the set options, you can also manage a discount and the VAT for it here.

Calculation Method

When determining the artist amount, you choose how Artwin Live calculates the total artist fee. The chosen method applies to this price group.

Sum of Team Members

Choose this method when the artist fee consists of the individual amounts of team members, external suppliers, and cost items. Artwin Live sums these amounts for you. As a result, the total amount is automatically calculated and cannot be adjusted directly.

This method is useful when you want to specify the compensation per band member, technician, or external party. If you adjust an amount in the distribution, the artist fee of the price group will change accordingly.

Specifying Amount

Choose this method when you want to enter a single total amount for the artist fee first. You can then distribute that total over team members, external suppliers, and other costs. This way, the agreed total amount remains leading while you can manage the underlying distribution.

If not the full amount is distributed, a remainder will be left. Depending on your settings, you can assign this remainder to a party or have it counted as booking costs via the option Remaining amount is booking costs.

Exclusive and Non-Exclusive Artists

The display of a price group depends on the type of artist.

An exclusive artist with team members has an extensive breakdown. You can include the fees of team members and amounts for external suppliers, thereby distributing the artist fee. This clarifies what part of the price goes to each involved party.

A non-exclusive artist does not have its own team members within the artist planning. Therefore, the price group is simpler: you will not see a breakdown over team members. Instead, you primarily manage the purchase with the agency or artist and any additional costs and services. The general financial settings remain available.

Good to Know

A price group is a template. Use multiple price groups when an artist has different fixed price agreements. This way, you don’t have to re-enter the same data for each booking.

Check the distribution for a total amount. In Specifying Amount, you can manage the agreed total and the underlying costs side by side. Therefore, watch out for any remainder before using the price group for a booking.
