Changelog
We have implemented a series of improvements in Artwin Live. This update mainly focuses on working faster, clearer contract and invoice flows, and resolving various reports from practice.

Bookings

• The window for creating artists has been clarified, so it is clearer whether you are creating an exclusive or non-exclusive artist.
• A search bar has been added to Bookings, so you can search faster for the event name, vanue name and client name.
• Unavailable status with a longer period are now correctly saved with the right end date.
• In the daily schedule, loading bookings has been improved, so the correct selection remains visible when you click through to an artist from a day.
• In the purchase overview, more space has been made for location data, so place/province and location information are better readable.
• In the mobile app, options and bookings can now also be deleted.

Contracts

• The email "Contract has been signed by all parties" now automatically includes a copy of the signed contract and a log file.
• You can now set a default BCC address for signed contracts, for example, for administration or an extra contact person.
• The contract flow can be configured more flexibly: checkboxes for general terms and riders can be omitted when they are not applicable.
• A default setting has been added to lock or unlock the location when sending a contract.
• Buma/Stemra agreements where the client is responsible for payment are now clearly stated in the contract terms.
• Ticketdeal budgets are now displayed correctly on the purchase contract and the booking confirmation.
• Previously locked advancing questions are no longer unnecessarily shown in the contract flow.

Booking confirmations and purchase contracts

• Booking confirmations can now show available advancing information, such as technical details and other filled-in data.
• Booking confirmations and purchase contracts now better follow the contract term and can therefore correctly receive a late status.
• In case of cancellations, relevant purchase confirmations and purchase contracts can now also be included in the cancellation confirmation.

Advancing

• Advancing forms now have an additional status Form, in addition to Internal and Contract (formerly Sendable). This allows you to send advancing forms separately from the Contracts.
• For multiple choice and selection choices, we added for an Other option, where the client can fill in their own answer.
• The timetable is now included in iCal, so timetable information is better visible in calendars.

Invoices and finances

• The overview of Creating Invoices has been improved and shows bookings more consistently and correctly.
• Bookings for which invoice creation is disabled no longer appear incorrectly in the list of invoices to be created.
• The dashboard now shows better how many invoices need to be created.
• Invoice reminders can now display both the original payment date and the new due date for the reminder.
• Received advance invoices can be processed more easily and linked to the budget.
• XML files of invoices are read better by accounting systems.

Dashboard and navigation

• New booking overview side panel: quickly view booking details, venue, client, notes, and key actions without opening the full booking page.
• Faster, smoother booking and planning grids with improved scrolling, sticky headers, cleaner hover states, and less visual jumping while paging or filtering.
• Advancing is now clearer on dashboards and booking overviews, with better status summaries for due forms and forms that need review.

Travel AI

• Upload a travel PDF or paste travel text to prefill travel items such as flights, hotels, transfers, dates, times, booking codes, and notes.

Team permissions

• Task management can now be controlled separately per team member.

Various

• Booking request forms now prevent past dates and validate custom end dates more reliably.
• Email buttons now follow the account theme color more consistently.
• The Press kit link in the contract flow, now links to the Press kit page of the artist.

Bookings and contracts

• Contracts can now be sent back to the client for review from the review/countersign step.
• Purchase contract and booking confirmation templates have been improved.
• Night bookings are marked with a moon icon and private bookings show an eye icon.

Invoices

• Crediting an invoice now automatically registers matching payment entries, so the credited invoice and credit invoice balance correctly.

Travel / Itinerary

• Flights, hotels, ferry, train, shuttle and other travel activities can now appear in the planning/calendar timeline.
• The booking Travel tab has been redesigned into a clearer itinerary view with the booking and all travel items in chronological order.
• Travel cards now show richer details such as departure/arrival, addresses, flight number, airline, hotel details, reservation numbers, files and notes.
• Travel items use their own icons in planning views, grids and booking overviews.

Billing and finances

• In addition to crediting invoices, you can now also duplicate invoices.
• The setting for Booking purchases is now enabled by default when adding a team member or expense item, when this account setting is active.
• A problem has been solved where the same invoice number was shown twice in the attachment for two invoices.

CRM

• Support added for first name and last name of contacts. First name and last name of contacts work with the {{first_name}} and {{last_name}} in email forms.
• It is now possible to designate a fallback signatory for the agency when the regular contact person is not authorized to sign.
• In the availability list, you can now search by relationship and then email directly.

Bookings

• Cancelled options and bookings can now be made visible in the table in the day, month and year views.
• Tags are now also displayed in the schedule.
• The cards with different actions on the Dashboard for agents can now be organized by agent (employee).

Miscellaneous

• If you are an agent across multiple accounts, you will find the Agency switcher now on the left in the menu and it is directly visible in which account you are.
• In Roster, it is now possible to filter by exclusive / non-exclusive, agency, and category.

Roster

• In the Roster window, there is now a clear overview of all exclusive artists.
• We have added a price list overview.

Block Planning

• We have added block planning. You can now link artists together, which allows bookings of the artists in the various schedules to be displayed together.

Region Check

• Back navigation to create booking added
• Button ‘Create booking’ added
• Filtering by tags added
• Calculation can be based on drive time/distance matrix instead of a radius

Improvements

• The log view has been expanded with a new format for log lists with pages
• When sending availability, options are displayed correctly
• Deal terms have been added to export bookings.

• You can now use 2-factor authentication using your favorite authenticator app
• Support added for first name and last name of contacts.

Region check / Tour check

We revamped Region check into a complete, standalone tool. In this new view you can:

• Set a date window: number of days around a date, or a start + end period
• Set a distance in kilometers (miles coming soon)
• Load default days + distance from Account settings or override per artist
• Choose which bookings to include:
  
  • Confirmed only or Confirmed + Options
  • Public events only
  • Draw a circle around every booking on the map
  • Run the check without a target location

What it checks (Region check)

With these options, Region check can show:

• Bookings on the same date, even if they’re outside the region
• Bookings within the selected radius/region
• Bookings with region exclusivity

Tour check (how to use it)

To do a Tour check:

1. Set a period (e.g. a full year)
2. Leave location empty
3. Enable Draw a circle around every booking
4. Set a perimeter (e.g. 10 km)

All bookings will appear on the map with a circle around each one. This helps you spot gaps and identify areas where you could book additional venues.

New calendar for mobile

We added a new mobile calendar view to replace the old list experience.

• More intuitive navigation with a real monthly calendar.
• Better visibility of daily booking statuses.
• Correct handling of in the night bookings.
• Automatic refreshes, for example when you return to the app.

Create and send invoices for free

Team members can now create invoices based on the fee set by the team owner or agency.

You only need to set up invoicing once in your Account settings. After that, head over to Financial and:

• Create separate invoices per booking, or
• Select multiple fulfilled bookings and generate one combined invoice

Use the new filter options for even more control and flexibility when invoicing.

Financial view for artists

• The financial reports filter has been extended with a venue filter.
• The Agency column now shows which agency you are working for.
• You can now export the current table.

Vat and reverse charge

• When entering a VAT number for a new or existing business, a message is shown when the number is valid or invalid.
• When invoicing and sending contracts to a business in another EU member state, VAT is now automatically reverse-charged if a valid VAT number is provided.
• If you prefer to apply VAT reverse charge manually, you can disable this feature in Account Settings → Financial Settings.

Improvements

• When there is no artist fee, contracts no longer display a line with €0.00.
• Added All and Future as default options in the period selector for table filters.
• When selecting a different artist for a booking, additional costs are now preserved.
• Searching for a venue is not limited to specific venue types.
• You can now set a default VAT percentage for the booking fee separately from the default artist fee VAT. These defaults are used as a starting point per budget.

Bug fixes

• When no data is available in the current table, the export button no longer redirects to a blank page.
• Applied filters in Tasks and Purchase Invoices are now preserved when returning from a booking (via the back button) or after performing an action.

Export

• Export are now available on all tables, including those that previously didn’t support exporting.
• Exports are generated as Excel(xlsx) files, supported by all major spreadsheet applications.
• Export permissions can now be configured per agent.

Email improvements for agencies

• If an agency does not use its own email domain, you can now also choose which email address is used as the default sender: the agency email address or the employee email address.
• The default reply-to address is now the employee’s email address.
• The reply-to address can be set per email template in Account Settings.
• When BCC email is enabled, emails are now sent to the employee’s email address.

If you use your own email domain, you can add additional email addresses (such as invoices@yourdomain.com and contracts@yourdomain.com) and set them as the default "Sent from" address for specific email templates.

Improvements

• Date inputs now require 8 digits (including the full year) when typing, using the correct numeric format — e.g. 12212026 for December 21, 2026 when set to English (US).
• The Create booking button in the Year planning view now correctly sets the date in the booking form.
• Added Create booking button to the Month planning view.
• When hovering over the tasks icon in Bookings, a list of tasks is shown next to the status description, in the tooltip.

Bug fixes

• You can now upload attachments when sending an Option confirmation, Cancel booking, Cancel option, and Send itinerary.
• The invoice status in Bookings now shows the correct icons when an invoice is paid.

Deal and Default Budgets

• You can now distinguish between purchase and sales amounts for additional costs. The difference is automatically added to the total margin.
• In default budgets, it’s now possible to add the same team member multiple times.

Menu changes

• Added small spacers to better separate menu sections.
• Added Roster directly to the menu to easy access it without using “Show more”.
• Moved Contacts higher in the menu to better fit that section and updated its icon.

Improvements

• Form fields now display their labels above the inputs, similar to the filter form. This results in a cleaner and more consistent layout.
• You can now preview the invoice directly from the view.
• The year planning view now includes a legend with counters per status type.
• The Roster view now includes action buttons to quickly access the Artist overview, Planning list, Year view, Team members, and Settings.

Fixes

• Fixed an issue where task filtering did not work correctly.
• The Follow-up action card in Bookings now filters correctly.

Advancing (beta)

You can now create advancing forms and send them directly to the promoter or client.

• Custom forms: Create forms with the exact questions you need answered for a booking.
• Multiple forms per artist: Assign more than one form to an artist — for example, a general advancing form and an artist-specific one.
• Flexible deadlines: Set a default return deadline in days, or define a specific deadline per form and per booking when needed.
• Field locking & audit trail: Mark fields as checked to lock them for client editing. The agent who checked the field and the date are automatically recorded.
• Automatic sharing with artist team: Once an advancing form is checked (closed), the data becomes instantly available to your artist team.
• Clear deadline tracking: Monitor returned and overdue forms directly from your Dashboard and Bookings.
• Fully branded forms: Design professional-looking forms by setting:
  • a background image
  • your company colours and logo
  • artist banners displayed within the form
• Send itinerary: When a submitted form is checked, the completed fields automatically become visible on the itinerary.

Filters

Filters across all tables have been completely reworked. All Bookings and Invoices tables now include:

• Period selector: Choose between Month, Quarter, Year to date, and Year. Easily navigate to the previous or next period using the navigation buttons.
• Instant updates: Tables now reload automatically when a filter is changed.
• Active filter indicator: A visual indicator shows when one or more filters are active.

Bookings

We’ve added status cards to the Bookings table to highlight upcoming actions. Clicking a card instantly applies the corresponding filter. Available cards:

• Requests, Options & Opportunities: Shows all upcoming bookings of these types, regardless of due date.
• Follow-up: Shows Requests, Options, and Opportunities where the follow-up date
  (or option expiry date) has passed. You can also set a follow-up date in the filter to see which bookings require follow-up this week or later.
• Advancing: Shows all confirmed bookings where the deadline for returning the advancing form has passed.
• Send contracts: Shows all bookings with contracts that have not yet been sent.
  Contract sending can be disabled per booking via the action button.
• Counter sign: Shows all bookings where the client has signed the contract and your counter signature is still required.
• Contracts late: Shows all bookings where the client did not return the contract in time.

Additionally:

• All status icons now show a tooltip on hover.

Invoices

The same filtering concept has been applied to Invoices. Available cards:

• Send invoices: All Concept and Not sent invoices.
• Outstanding invoices: All outstanding invoices, including Overdue and Reminded.
• Overdue invoices: All overdue invoices for which no reminder has been sent yet.
• Reminder sent: All overdue invoices where a reminder has been sent and the new payment due date has not yet passed.

Additionally:

• New action buttons allow you to send reminders or register payments directly from the table.
• We’ve added counters to the invoice tab menu showing:
  • how many send and outstanding invoices there are
  • how many invoices still need to be created for bookings

Purchase Invoices

In the previous update, we introduced purchase invoices. Based on your feedback, we’ve improved this feature further.

• All purchases visible in Assign: All purchases are now shown in the Assign section under Purchases, making it easier to review and manage them.
• Disable purchase invoice checking per booking: You can now disable purchase invoice checking for individual purchases within a booking.
• Improved filtering and bulk selection: In the Assign section, you can:
  • filter purchases by creditor
  • select multiple bookings at once to add them to a purchase invoice

This is especially useful for artists or suppliers who send a consolidated monthly invoice.

Invoice relation

Previously, you could set a separate invoice address per booking. We’ve now introduced invoice relations. You can assign a different contact as the invoice relation on the client. Invoices for booking for that client will automatically use that contact’s details.

Instant Help

We’ve added Instant Help to most pages to make it easier to understand how everything works.

• A help icon (?) now appears in the top-right corner of pages where additional guidance is available.
• Click the icon to get contextual explanations for the page you’re currently on.
• Each section and component on the page is clearly explained, so you know exactly what it does.

Artist dashboard

We’ve introduced a brand-new dashboard per artist so you can see everything important in one place:

• Contact details at a glance
• All budgets created for this artist, without going into Settings
• An overview of all options, requests and opportunities that are still in progress
• All due tasks related to this artist, collected in one list

Year planning

The old year view has been replaced with a brand new Year view in the same style as Month:

• Cleaner, more compact year grid per artist
• The selected period is shown in the bookings list below for quick review

Business identity

We’ve added more customization options for your forms in Company settings:

• Set your primary color (used for buttons and borders)
• Set your secondary color (used for focus states and other secondary UI elements)
• Upload a background image to use on your forms
• The “Sign online” button in agreement emails now follows your brand styling 

Email templates & settings

As customization in Artwin Live grows, we’ve split email configuration into two sections in Account settings:

• Email settings – technical and delivery settings
• Email templates – content and layout of your emails 

This makes it easier to manage style and content separately from your general email configuration.

Artist statements (beta)

You can now send artist statements to your team members.

• New Statements tab in Bookings
• Team members must be linked to a contact from your Relations to appear in Statements
• You can download or send the statement directly
• A new email template for Statements has been added under Account settings → Email templates 

(This feature is currently in beta.) 

Purchase invoices

You can now register and track purchase invoices in Artwin Live: 

• Attach purchase invoices to team members and purchases in the Invoices section of a booking
• Tracking is disabled by default – enable it via Account settings → Financial & invoices
• New Purchase invoices section in the menu to monitor all purchase invoices and their due dates
• Track invoices you haven’t received yet via the Purchases → Manage tab

Invoices

• You can now reorder invoice lines by simple drag and drop.
• When creating consolidated invoices, we now insert booking divider lines using a 0,00 value line for clearer separation between bookings.
• Because of this change, existing consolidated invoices will not automatically get these new divider lines – they only apply to newly created consolidated invoices.
   

• You can now add additional bank details in Account Settings → Company Information.
• In Account Settings → Financial and Invoices, you can now set it so that these bank details are also displayed on the invoice.
• Team members with Administrator rights cannot send contracts or create invoices; only the owner (agency) of the schedule (artist) can.
• If the default calculation method of the account is the same as the calculation method in the booking, it can no longer be adjusted.
   

Finance

• Amounts and totals are no longer visible in the Planning overviews.
  • Agencies can use the Bookings section to view totals and financial details.
  • Artists can use the Financial section to view totals and financial details.

Assign contact roles

• You can now define the primary and finance contact persons for a business, and specify whether a contact is authorized to sign contracts. (Primary contacts can always sign contracts.)
• Contracts can be sent to a booking’s contact person, even if they are not authorized to sign — in that case, the primary contact person will be listed on the contract.
• Unsent invoices created in bookings are now automatically attached to the agreement email and sent to the booking contact, even if the invoice contact is different.
  • You can disable this behavior in Invoice Settings if you prefer to send invoices separately to the correct invoice contact.

Contact documents

• You can upload documents to relations (CRM) and track their expiration dates. For instance for passports or taxation documents.
• You can upload documents at the agency level and mark them as applicable to all artists.
  • A warning message will now appear in a booking when a required document is expired on the day of the performance.
• All uploaded documents with it's expiration date are listed in the new Documents tab under Relations.
• You can also upload files and set no expiration date.

Various

• Added email template for sending itineraries.
• Added email templates for second and final invoice reminders.
  • The number of Invoice reminders sent is now shown in both the table and the invoice list within the booking view.
• Grouped email templates into categorized sections.
• Added a CC field in email forms.
• You can now set a CC email address per contact person, which is automatically added as a CC recipient in email forms.

Additional email addresses

• Agency users can now add additional email addresses to their account. You first have to verify the email address and the domain to use this feature.

• A new Buma overview in Bookings
• Export data directly in the official Buma-compatible Excel file format

Other Improvements

• We've changed the way the Setlist feature works:
  • The default Setlist is now called “Repertoire list” and serves as a template for Setlists in bookings.
  • The Repertoire list (formerly the Default Setlist) is no longer shown as the booking’s setlist.
• Accounts with non-exclusive artists can now convert an artist between Non-exclusive and Exclusive, and vice versa.
• Register purchase invoices from artists within bookings, and track whether they’re received and when they’re due/paid in a new overview. (This feature is not available in Legacy accounts)
• The search-bar in relations (crm) have been moved to just above the main table. We also added a search-bar to the invoice the invoices list. This is more conveinient and in line with Planning. You can also use CTRL/CMD-F on this page to start searching.
• Artists linked to an agency are now listed in the agency’s relation view.
• We've added a "Search business on Google" field in the create Relation dialog so results can be prefilled in the form.

• Team members can be given permission to edit the artist profile, biography, presskit files, and set list.
• When a booking is in request status, you can send a booking request directly to the artist or artist’s agency, providing all important information for the agency (date, times, artist, venue, etc.).

• You can prepare an advance payment invoice. This will be automatically printed as a line on the agreement.
