Planning

Using annual planning

With the Annual Planning, you can see at a glance on which days an artist is booked, occupied, or blocked due to availability. Each row represents a month, and each colored day stands for one or more bookings or occupancy reports. This way, you quickly recognize busy periods and free moments without having to open all bookings one by one.

Open the artist's schedule and select Year at the top. The annual planning shows the current year by default.

Navigating the annual planning

Use the left or right arrow to go to the previous or next year. Click on This year to return directly to the current year. Above the overview, you can always see which year you are viewing.

Click on the name of a month to select all bookings for that month. If you want to view a specific day, click on that day. The selected day gets a highlight, and the list of associated bookings is loaded below the annual planning. When a day is selected, the screen automatically jumps to this list. There you can open a booking further or add a new booking for the selected date.

What do the colors mean?

Below the annual planning, there is a legend with the different statuses, such as Confirmed, Option, Request, Chance, Private occupied, Own option, and Own booking. The number next to a status represents the number of bookings or occupancy reports with that status in the displayed year.

A day with one visible status gets the corresponding color. If there are multiple visible statuses on the same day, the day gets a mixed color. Click on a part of the legend to temporarily hide or show that status. This does not change any bookings; it only makes the year overview calmer.

Hover and view details

Move your mouse over a colored day to see which bookings or occupancy reports are scheduled for that day. The hover shows the available titles per line. Statuses you have hidden via the legend will not appear in this hover either.

Then click on the day to load the full booking list below the annual planning. This is handy when there are multiple items on one day or when you need more information than what fits in the hover.

Filtering

Click on the funnel icon to open the filters. You can filter the annual planning by Performance type and Labels. Once you choose a filter, both the colored days and the list below the planning will reload. A colored indicator next to the funnel icon shows that a filter is active, even when the filter panel is collapsed.

In the list below the annual planning, you also find Including inactive. Enable this option to include expired and canceled bookings in the list. These statuses are hidden by default in the legend; make them visible there if you want to see them in the annual overview.

Annual planning for a client or location

The same year view is also available for a client, such as a client or location. You will see all bookings associated with that client, regardless of the artist. Navigation, hovering, filtering by performance type and labels, the legend, and loading the list under the overview all work the same way.

For a client or location, the list for the full displayed year is already loaded. When you click on a month or day, you refine that list to the chosen period.

Block planning

Use Block planning when you want to schedule multiple artists together. Linked artists will then be included together in the schedules, allowing you to assess bookings and availability side by side. In the annual planning, a dropdown will appear allowing you to switch between all linked artists or one specific artist.

You set block planning from the artist: open the artist, select Settings, open Advanced, and choose Linked artists under Block planning. Save the settings afterwards. Only the owner of the artist can manage these links. Team members do not automatically gain access to the linked artists through block planning; invite them separately per artist if necessary.

Good to know

The annual planning is an overview, not a modification screen: you can quickly select, filter, and click through it. Changes to a booking are made from the loaded booking list or by opening the booking itself.

What you see depends on your rights: opportunities are only visible to the owner of the planning. You can also only see the artists and bookings for which you have access.
