With Request Purchase Contract, you ask the party in a purchase line to provide the contract for your booking. You send the request from the booking and keep the received contract associated with that same booking.
Which option do you use?
- Request Purchase Contract: you request the contract; the other party drafts it and sends back a signing link or document.
- Send Purchase Contract: you create the purchase contract in Artwin Live and send it to the other party for signature.
- Booking Confirmation: you send a confirmation with the booking details. The recipient does not sign this via the contract signing of Artwin Live.
Send the request
Make sure that the purchase costs and the associated relationship are noted on the booking. Open the contract settings for the booking. Under Purchase Contracts, choose the relationship Request Purchase Contract and save the settings. The action Request Purchase Contract will now appear with the purchase contracts on the booking. Open that action, check the recipient, the subject, the message, and the attachment, and send the email. Adjust any pre-filled standard text for a booking confirmation so that the recipient sees that you are requesting a purchase contract. The request will receive the status Sent.
Register a received contract
When the contract comes back, click on Received for the request. The form Incoming Contract opens with the sender and the receipt status already filled in. Fill in the receipt date, paste a signing link in Signing Link, and add a signed PDF file in Signed Document. You can also add Notes. Save the form. The link or file can then be opened from the booking.
Update the status
Use Edit on the received contract to adjust the progress. Choose what applies under Status: Not Received, Requested, Received, Returned Signed, or Completed. Fill in Returned on when the contract has been signed and returned, and save your changes. The status will then be visible on the contract in the booking.
Purchase Contracts via Live LINK
If both offices use Artwin Live, they can collaborate via Live LINK. The artist office shares the artist; the booking office can send a booking request for that artist. Both offices then work with their own booking. The booking office can choose Request Purchase Contract with the purchase relationship and send the request.
If the artist office then sends a contract from the linked booking, the signing link can automatically appear as Incoming Contract on the booking of the requesting office. You open and sign the contract there; for a linked contract, the progress will be updated after signing. If the contract does not appear immediately on your booking, link it from the incoming contract request to the correct booking.
