Requests

Manage requests

A request is a request for a performance that you can review in Artwin Live and convert into a booking. You can find new requests on the dashboard and via the icon in the top right corner. Click on Requests to open the overview.

Requests can come in through various channels: via a booking form, AI text, or a pdf, the API, an availability list, the WordPress plugin, or Live LINK. In this overview, you manage all these requests in one place. The settings and procedures for each channel are explained in separate help articles.

The Requests Overview

At the top, there are three tabs. The number next to a tab indicates how many new or outstanding requests require attention there.

  • Incoming contains requests that have entered your agency. Here you assess a request and potentially create a booking from it.
  • Requested is the outgoing overview: requests that you have submitted to another agency. You can view the status and details of that request here.
  • Availability includes availability requests via Live LINK. You can see which client has requested availability for which date and can approve or reject an outstanding request. For an approved request, it is also visible until when the shared availability is valid.

In the list, you can see the date, status, artist, event, client or agency, the time of the request, and the type. Use the period and status filters to view only new, confirmed, or rejected requests, for example.

Opening an Incoming Request

Click on a request in Incoming. In the window, you will see the information that the requester has provided, such as artist, event, date, any comments, and information about the requester and location. If that information is filled in, you will see, for example, company name, contact person, email address, phone number, and address details.

Artwin Live tries to link the data to what is already in your account. The requested artist is matched with your artists and the requester and location with your clients. If a suitable client or artist is found, you can use that for the new booking. If an artist is not present yet, you can add a new artist from this window using Add Artist. For a requester or location that has not been found yet, you can create a new client, choose a suggested match, or temporarily use the details.

From Request to Booking

Select Create Booking to open the window for a new booking. The details from the request are included, allowing you to verify and add to them before saving the booking. After creating, you can send an option confirmation to the requester from the booking.

Rejecting a Request

Is the request not suitable? Then choose Reject. Artwin Live opens an email window with a response for the requester. Check or adjust the message and send it. The request will then receive the status rejected.

Good to know: a request remains in the overview with the corresponding status. This way, you can also look back later at what happened with an incoming or outgoing request.
