With the Artwin Live API, you can have booking requests from your own website, portal, or other system come directly into Artwin Live. A request created via the API appears in Requests → Incoming and can be assessed and converted into a booking there in the same way as a request from a booking form.
Setting up API access
In your user settings, under API access, create an API token. Grant this token access to Booking requests. For fetching requests, read rights are needed; for creating, modifying, or deleting requests, read and write rights are required.
Your external system uses the token to authenticate the API requests. Add the token as X-API-Key or as a Bearer token. The exact addresses, fields, and example requests can be found in the Artwin Live API reference. You can also access this through Open API documentation in the API settings.
Submitting a request
Your external system sends the request as data to the API. For a new request, at a minimum, the artist and the date with start time are required. You can specify the artist as an existing artist in your Artwin Live account or by using an artist name.
For a proper assessment, include as much relevant information as possible:
- event name, date, start and end time, and any other artists;
- name, address, city, country, phone number, and website of the venue;
- name, address, and contact information of the client;
- name, email address, and phone number of the contact person;
- budget, visibility of the event, and any comments or notes.
After a successful API request, you will receive the created request back with a request number and status. Keep this number in your external system if you want to retrieve, modify, or delete the request later.
Processing the request in Artwin Live
Open the request via Requests → Incoming. In the list, you can identify this by the type API. Click on the request to check the details.
Artwin Live searches for matches with artists, relationships, and venues that are already in your account. Check the found matches. You can use existing data, create a new artist, relationship, or venue, or use data temporarily.
Select Create booking when the request is correct. The window for a new booking opens with the provided data. Check and complete the booking before saving it. After that, you can send an option confirmation to the requester from the booking.
Status and management via the API
Through the API, you can retrieve and filter requests by status or artist, for example. With write rights, your integration can also update or delete a request. The possible statuses are new, pending, accepted, and rejected.
Good to know: the API creates the request in Artwin Live, but does not send an acknowledgment to the requester. Let your website or external system confirm that the request has been received.
