When you subscribe to an iCalendar feed, Artwin Live provides the calendar data. Your calendar application is responsible for refreshing and displaying that data.
Always use Artwin Live as the source of truth for your bookings.
Calendar applications synchronize iCalendar feeds on their own schedule. Artwin Live cannot control how often and if Apple Calendar, Google Calendar, Outlook, or other calendar applications refresh subscribed calendars. Artwin Live is not responsible for incorrect, delayed, or incomplete synchronization that may result in missing or outdated bookings in your external calendar.
Keep Your iCalendar URL private
Your iCalendar URL gives access to the calendar information included in the widget. Do not publish or share the link unless you are sure the calendar information may be visible to others.
If you believe the URL has been shared accidentally, delete the widget and create a new one.
Team members can create their own widget
Managing multiple calendars? Invite team members for a specific artist within Artwin Live instead of sharing a widget code from your own account. This helps prevent calendar information from becoming visible to people it was not intended for.
Set up your calendar
Time Zone Settings
Before using an iCalendar widget, check that your Artwin Live calendar time zone is correct. By default, the time zone is set to Europe/Amsterdam.
- Open the Account menu.
- Go to Account settings.
- Open General Settings.
- Select your correct time zone.
- Save your changes.
You can also use the shortcut to Account settings from the iCalendar widget settings.
Create a New iCalendar Widget
- Open the Account menu: Widgets
- Click Create new
- Enter a description for the widget
- Select iCalendar as the export type
- Choose whether to include all schedules or selected individual schedules only
- Decide whether to enable Show all gigs
- Click Add to save the widget
Use Show all gigs carefully. This option may include non-confirmed gigs and additional gig information. If you plan to share or publish the iCalendar link, we recommend leaving this option disabled.
After saving, Artwin Live will show the iCalendar URL for your new widget. Copy this URL and add it to your calendar application as a calendar subscription.
Add the Calendar to Apple Calendar
MacOS
- Open the Calendar app
- Choose File > New Calendar Subscription
- Paste the Artwin Live iCalendar URL
- Click Subscribe
- Give the calendar a name and choose a color
- Choose a location: Choose iCloud if you want the calendar to appear on your other Apple devices
- Set the auto-refresh interval
Apple lets you choose how often the subscription refreshes. For booking calendars, we recommend choosing a more frequent refresh interval if available.
iPhone or iPad
- Open the Calendar app
- Tap Calendars
- Tap Add Calendar
- Tap Add Subscription Calendar
- Paste the Artwin Live iCalendar URL
- Choose iCloud as the account if you want the calendar available across your Apple devices
- Save the subscription
Add the Calendar to Google Calendar
You need to add the subscription from Google Calendar in a web browser. Google does not allow adding calendar subscriptions directly from the Google Calendar mobile app.
- Open Google Calendar on a computer
- On the left, next to Other calendars, click +
- Choose From URL
- Paste the Artwin Live iCalendar URL
- Click Add calendar
- The calendar will appear under Other calendars
Google controls how often subscribed calendars are refreshed. This can take several hours and cannot be manually configured.
Add the Calendar to Outlook.com or Outlook on the Web
- Open Outlook.com or Outlook on the web
- Go to Calendar
- Click Add calendar
- Choose the option to subscribe from the web or from a URL
- Paste the Artwin Live iCalendar URL
- Give the calendar a name
- Save the subscription
Outlook refreshes subscribed calendars automatically, but the refresh timing is controlled by Microsoft and can sometimes take more than 24 hours.
Troubleshooting
If bookings do not appear immediately:
- Check that the iCalendar URL was copied correctly
- Make sure the widget includes the correct schedules
- Check the number of months selected in the widget settings
- Confirm that your Artwin Live time zone is correct
- Wait for your calendar application to refresh the subscription
- If the external calendar still looks incorrect, compare it with Artwin Live directly
