With Peppol you send electronic invoices safely via the official Peppol network. Artwin Live creates a structured invoice and searches for the recipient based on the Peppol ID. This can for example be a Chamber of Commerce number, OIN number or KBO number.
Peppol is available for governments and a growing number of companies within the European Union. Once Peppol is enabled for your account, Artwin Live will automatically attempt to send a Peppol transmission when sending an invoice. The invoice is still sent via email as well.
Setting up Peppol
Go to Account settings > Invoicing. Under Peppol, enable Enable Peppol for invoices.
Artwin Live will then create the necessary Peppol connection using the information from Account settings > Company details. Therefore, review this data carefully first.
To enable, you need:
- Company name
- Chamber of Commerce/KBO number or VAT number
- Company address, postal code, and city
- Country
- Contact email address
If your company is based in the Netherlands, also fill in a bank account number and a Chamber of Commerce number or OIN number. If information is missing, Artwin Live will indicate which data you need to complete first.
Sometimes you will receive a request for company authorization by email after enabling. Complete this request and then re-enable Peppol. You can check the status of the connection via the information icon next to the switch.
Conditions for the debtor
The invoice must be linked to a debtor relationship. Add at least a country and a Chamber of Commerce/KBO number or VAT number to the relationship. Artwin Live uses this data to verify if the relationship can receive invoices via Peppol.
For a Dutch debtor, street address, postal code, and city are also required. Always check if the company name and the address of the debtor are complete and current.
When the recipient is found in the Peppol network, Artwin Live shows Peppol available at the relationship. In case of multiple found recipients, no found recipient, or a failed check, it is advisable to double-check the relationship data.
Sending an invoice via Peppol
Open the invoice and click on Send. In the sending screen, you will see a notification about the Peppol pre-check. If the debtor can be found via Peppol, you will see that the invoice can be sent via Peppol.
Check the email address, subject, and content of the email and click on Send. Artwin Live will send the invoice by email and simultaneously attempt to deliver the invoice via Peppol. You do not need to enter a separate Peppol address.
If no recipient is found during the pre-check or if that check cannot be performed, Artwin Live will still attempt Peppol when a registration number of the debtor is available. In that case, the invoice will also be sent by email.
Checking the Peppol status
After a Peppol delivery, you will see the delivery status on the invoice page under Peppol. Click on Peppol status to refresh the status and view any error messages.
An error message means that the Peppol delivery has failed or needs further verification. Correct the company data, debtor data, or invoice details where necessary and then check the status again. An invoice that has already been sent via Peppol will not be sent again via Peppol.
Good to know
The Peppol ID is automatically determined: Artwin Live uses the registration number of the debtor to find a suitable Peppol recipient.
Email remains part of the sending: even if Peppol is enabled, you go through the normal screen for sending the invoice by email.
