With Margins in Artwin Live, you can view the financial results per booking. You can see which confirmed bookings contribute to your revenue, purchase, and margin and easily verify how the totals in Insights are composed.
For example, use Margins to analyze a specific period, check notable bookings, or export data to Excel.
Which bookings do you see?
The Margins list includes confirmed bookings that have not been canceled.
Self-bookings and bookings of artists who are excluded from margins are not displayed and do not count towards the totals.
The data in Insights is usually updated every five minutes. A booking you just adjusted may appear slightly later in the list and totals.
Select the period
At the top of the list, you determine which period you want to view the bookings for.
You can choose from:
- Future: all bookings from today onwards.
- Month: bookings within a calendar month.
- Quarter: bookings within a quarter.
- Year: bookings within a calendar year.
- Year to date: bookings from January 1 up to and including today.
- Year ahead: bookings from January 1 of the selected year without an end date.
- Custom period: choose your own start and end date.
With the arrows next to the period, you can easily navigate to the previous or next period.
Event Date or Confirmation Date
You can determine which date the selected period is applied to.
Event Date
Displays bookings where the event takes place within the chosen period. Use this view, for example, when you want to know which revenue and margin you realize in a specific month or year.
Confirmation Date
Displays bookings that have been confirmed within the chosen period. With this, you can investigate how much new revenue or margin you have secured during a specific month.
In older bookings where no confirmation date is available, the date the booking was added is used.
The Date column in the list always shows the event date. You can find the confirmation date separately in the Confirmed column.
Filtering Results
With the filter panel, you can further refine the list.
You can filter on:
- Location: search by the location of the booking.
- BUMA view: view amounts including or excluding BUMA.
- Client: view only bookings from a specific client.
- Artists: select one or more artists.
- Assigned to: view bookings from a specific agent.
- Labels: show only bookings with certain labels.
Filters can be combined.
This way, for example, you can view all bookings of a specific artist for a particular client or analyze the margin of an agent within a specific period.
The amounts in the list
Each row in the Margins list represents one booking. In addition to information about the artist, the event, and the client, you can see the financial breakdown of the booking.
- Artist: the non-billed purchase costs, usually including the fee for the artist.
- Extra: cost lines that are billed to the client.
- Purchase: the total purchase costs of the booking.
- Sale: the total sale amount of the booking.
- Margin: the difference between sale and purchase.
The amounts for Purchase, Sale, and Margin are displayed according to the chosen BUMA view.
Click on the list icon to the right of a booking to view the booking details in the sidebar.
Sort and view totals
You can sort the list by clicking on a column title with sorting arrows.
This way, for example, you can sort by Margin to quickly find the bookings with the highest or lowest margin. You can also sort by date, artist, event, client, confirmation date, purchase, or sale.
At the bottom of the list, you can see the totals for your current selection:
- number of bookings;
- artist costs;
- extra costs;
- total purchase;
- total sale;
- total margin.
The totals are calculated over all bookings that fall within your active filters, even when the list consists of multiple pages.
A maximum of 100 bookings are displayed per page.
Include or Exclude BUMA
With BUMA view, you determine whether BUMA is included in the financial results.
Select Including BUMA when you want to view the full amounts.
Select Excluding BUMA when you want to analyze the results without the BUMA part.
This choice affects Purchase, Sale, and Margin. The separate columns Artist and Extra will continue to show the underlying cost lines.
When comparing results, always use the same BUMA view. A margin including BUMA is not directly comparable to a margin excluding BUMA.
From Overview to the underlying bookings
The Margins list aligns with the Overview tab of Insights.
When you click through from a total in Overview, Margins opens with the corresponding selection. You can then see exactly which bookings the amount or number consists of.
This is useful, for example, when you see in Overview that the margin in a certain month deviates significantly from last year and want to investigate which bookings are responsible for that.
Export to Excel
With Export, you can download the Margins list as an Excel file. This function is available for users with the appropriate export rights.
The export includes the bookings from the current visible page and takes into account your active filters and sorting order.
If your selection consists of multiple pages, check which page you are exporting and export any additional pages separately if needed.
Good to know
- Only confirmed bookings count. Canceled bookings, self-bookings, and artists who are excluded from margins are not included.
- Check your active filters. The Margins list remembers your selection during your work session.
- The data is periodically updated. Changes may become visible a few minutes later.
- The event date follows your date convention. An event after midnight may consequently belong to the preceding date.
- Use the same BUMA view in comparisons. This way, you prevent comparing amounts with different calculations.
With Margins, you can easily click through from the general figures in Insights to the bookings behind those figures. This way, you can see not only what your revenue and margin are, but also exactly how they are composed.
