Creating a Booking in Artwin Live

To create a new booking, click the plus icon in the top-right corner and select Booking. If you want to add a private block or holiday, use Appointment. This isn’t a real booking but helps keep availability clear for your team and agency.

Event details

  • Name and date – enter the event name and date.
  • Duration – by default, this uses the standard duration you set in the artist’s profile.
  • Status – choose between request, option, or confirmed. Options can include an expiration date.
  • Own booking – useful for rehearsals, showcases, or non-commercial events.

Client and venue

  • Select a client from your contacts or add a new one.
  • Enter the venue or tick Venue is client if it’s the same address.

Settings

  • Publication date – controls when the booking is visible on your website via widgets.
  • Private event – mark if the booking should not be public.
  • Apply regional exclusivity – checks conflicts based on the radius and days you set in account preferences.
  • Assign to agent – assign the booking to a colleague.

Notes

  • Team notes – shared with the artist and the entire team.
  • Internal notes – visible only to agents.

Booking overview
Once saved, you’ll see the booking overview. Here you’ll find:

  • Standard tasks you defined in your account settings (e.g., confirm rider, submit guest list).
  • A complete overview of event details, client, and venue.

Going further
Each booking has multiple tabs:

Budget – create a new budget or load a default artist budget.
Details – add extra information such as guest lists, schedules, or a setlist.
Travel – create itineraries with transport, hotels, and flights.
Invoices – generate invoices directly from the booking.
Activity – track all changes and linked tasks.
This way, you keep full control of every booking detail in one place.
