Bookings

Bookings and My bookings overview

In Bookings you will find all bookings within your account. In My bookings you will only see the bookings assigned to you. Both overviews help you to quickly see what is going on, what needs attention, and what actions you can take.

Each line represents one booking. In the overview, you will see the date and time, status, artist, event, client, and the most important progress information. Click on the action icon all the way to the right in a line to open the side panel of that booking.

Searching, period, and sorting

Select a period at the top, such as Week, Month, Quarter, or Year. Use the arrows to go to the previous or next period. You can also fill in your own start and end date.

Use the search field to search by event, location, client, or contract number. You can sort the list by clicking on a column header with a sort icon, such as Date, Artist, Event, or Client. Click the same header again to reverse the sort order.

Filtering

Click on the funnel icon to open the advanced filters. Here you can filter by location, client, artist, assigned team member, type of performance, labels, and follow-up date. Additionally, you can select by booking status, contract status, purchase contract, return status, advancing, and artist type.

After making your selection, click on Apply. An active filter is indicated by the indicator next to the funnel icon. Please pay attention to this: even if the filter panel is collapsed, this indicator shows that the overview does not display the default selection.

Your selected filter will be remembered when you open the overview again. Click the button with the X next to the funnel icon, or Reset in the filter panel, to go back to the default view.

The cards above the overview

The cards at the top provide direct counts for common tasks. Click on a card to apply the corresponding filter to the overview. The card is thus a quick filter, not a separate list.

  • Requests: bookings with the status request.
  • Options: bookings that are on hold.
  • Opportunities: bookings with the status opportunity.
  • Follow up: requests, options, and opportunities with a follow-up date of today.
  • Advancing late: final bookings for which the advancing requires attention because it is too late.
  • Advancing check: final bookings for which the advancing needs to be checked.
  • Contracts: final bookings for which the contract has not yet been sent.
  • Return signing: bookings for which a contract still needs to be signed and returned.
  • Too late return: bookings for which the return of the contract is too late.

The side panel of a booking

Open the side panel via the action icon at the end of a booking line. You will see at a glance the date and time, visibility, location, client and contact person, any responsible agent, booking number, personal notes, and labels.

Below, the panel shows the status of, among others, the deal, invoice, advancing, tasks, RSVP, and contracts. What information is visible depends on the booking and your rights.

Via Actions you can open the booking, check advancing, extend or delete an option, and cancel a booking or restore a cancellation. The available actions vary depending on the status and your access rights.

In the Send section, you can, when available for the booking, send a contract. For a request, you can send a booking request. For an option, you can request a status update, confirm the option, extend or cancel the option. You can also, depending on the situation, send a cancellation confirmation or directions.

Adjusting columns

Click on Columns at the top right to determine which extra information you see in the table. The fixed basis of the overview consists of number, date, status, artist, event, and client. Additionally, you can toggle the following columns on or off:

  • Final date: the date on which the booking became final.
  • Personal notes: a personal notes field set for display in the scheduling.
  • Labels: the labels attached to the booking.
  • Option until (date) and Option until (days): the end date of the option or the number of remaining days.
  • Contract number: the number of the client contract.
  • Contract and Purchase contract: the progress of the client contract and the purchase contract.
  • Tasks: the tasks related to the booking.
  • RSVP: the RSVP status of the artist.
  • Advancing: the progress of the advancing.
  • Buma: the Buma status, when available for your account.
  • Invoice: the invoice status.
  • Gross: the gross amount.
  • Sales: the sales amount of the booking.

Your column selection will be remembered. If you make a selection via a card, Artwin Live will also remember the chosen columns for that specific card. For example, you can display different columns under Advancing check than in your general bookings overview.

Good to know

My bookings are personal: in this overview, the bookings assigned to you are displayed. The other functions, such as searching, filtering, cards, side panels, and columns, work in the same way as in Bookings.
