With booking forms, visitors can submit a request directly to you. Artwin Live has a form for one artist, a form for your entire agency, and a form for WordPress. All requests then come together in Requests.
The three booking forms
- Artist form is used for one specific artist. The visitor sees the form from the artist page or via the form link; the artist is already predetermined.
- Agency form is used when you offer multiple artists. The visitor first selects the desired artist in the form and then fills in the application details.
- WordPress form is placed with the Artwin Live WordPress plugin on your own website. You choose which artists visitors may select. Depending on your setup, the form can thus be used for one artist or for a selection of artists.
You can determine for each form which data you request, for example, whether event name, budget, duration, or lineup are visible. You can also choose to only request name and email address. The settings for each form are explained separately in the corresponding help articles.
From filled-out form to request
The visitor fills in the details for the performance, such as date and time, event, location, and contact details, and submits the form. After a successful submission, the requester receives a confirmation of receipt at the provided email address.
The request appears in Artwin Live under Requests → Incoming. From the list, you can open the request to view all submitted data.
Checking the request
In the request window, you see the chosen artist, the event, date and time, the requester, location, and any notes. Artwin Live searches for matches with artists, contacts, and locations already in your account.
Check the found matches before proceeding. You can use an existing artist, contact, or location, create a new artist or contact, or temporarily use data when you do not want to save it permanently yet.
Creating a booking and option confirmation
Select Create booking if the details are correct. The window for a new booking opens with the details from the form. Check and complete the booking, then save it.
After creating, you can send an option confirmation to the requester from the booking.
Good to know: the form is a starting point for a request. Always check the details and availability before confirming a booking.
