The Advancing (Beta) feature helps you collect, manage, and share all practical, technical, and logistical information surrounding a performance in a structured way. By using advancing forms, you request targeted information from the client or venue and ensure that the artist, team, and organization are well prepared.
The advancing process consists of three steps:
- Creating advancing forms in your account settings
- Linking the correct advancing form to each artist
- Sending, managing, and confirming advancing within a booking
1. Creating advancing forms in your account settings
Advancing forms are managed centrally via Account settings → Advancing forms (Beta). Here you define the standard questions you want to ask clients or venues.
Creating an advancing form
On this page you can:
- Create a new advancing form
- Edit or delete existing forms
- Use multiple forms side by side (for example per artist or type of show)
For each form, you can configure:
- Form title
This title is visible to the client in the booking portal.
- Description (optional)
Additional explanation shown to the client.
- Include in booking portal
This determines whether the form can be sent to the client.
- Deadline
The number of days before the performance by which the information must be provided.
Adding questions and fields
Within each form, you can add fields such as:
- Text fields (for example: “Is there a gravel path?”)
- Required or optional questionsHelp texts to clarify questions for the client
- This allows you to define a fixed set of questions per form that matches your workflow.
2. Selecting the correct advancing form per artist
Not every artist has the same technical or practical requirements. That’s why you can choose which advancing form applies to each artist.
Via the artist settings, you link one or more advancing forms to an artist. This ensures that:
- The correct form is automatically available for new bookings
- You consistently request the same information per artist
- Different artists within one account can each have their own advancing structure
3. Sending advancing and confirming answers within a booking
Once a booking has been created, you manage advancing via the Advancing page within the booking.
Linking and sending forms
Within the booking, you can:
- Link one or more advancing forms
- Track the status of each form (open, partially completed, completed)
- Send the form by email to the client or contact person
The email contains a button that allows the recipient to open and complete the form directly.
Managing and confirming answers
After the answers have been submitted, you can:
- Review the completed information per question
- Confirm (lock) answers so they become final
- Once an answer is locked, it becomes visible to the artist
Confirmed answers form the definitive advancing information and are leading for the execution of the performance.
Status and overview
The advancing status is visible:
- In the booking overview
- On the Advancing page of the booking
- In combination with deadlines, so you can quickly see where action is still required
This helps you maintain control and prevents last-minute uncertainties.
