Artists

Manage general settings of an artist

In Artist > Settings > General you set the basic information of an artist. The settings are used in the artist view, bookings, availability, riders, requests, tasks, and Insights, among others. Save your changes at the bottom of the page.

Not every part is visible for every account. For example, Responsible agent only appears if there is more than one agent available in the account. Live LINK artist and Change exclusivity only appear when these features apply to the artist and the account.

Artist

  • Name: this is the name under which you see the artist in the artist list, schedule, calendar, bookings, and requests. The name is also used in communication about booking requests. Changing the name does not automatically change the text of documents sent earlier or existing bookings.
  • Responsible agent: assign the artist to the agent managing him or her within your account. The chosen agent will be displayed with the artist and the team. In booking requests, this agent can be used as the sender; on riders, their contact details are used as the contact of the booking office. Choose this setting if a specific colleague should be the first point of contact for this artist.
  • Internal notes: place information here for internal use regarding the artist, such as an agreement about the collaboration. The notes are visible on the artist dashboard for users who are allowed to see the artist. They are not automatically included in a booking, rider, contract, invoice, press kit, or public artist page.
  • Do not include in Insights: check this if you want to keep the bookings of this artist outside of the calculations of Insights. The artist and the bookings will still be available in Schedule, Calendar, Bookings, and administration; only the data for revenue, purchase, and margin insights will not be counted.

Relationship

In this section, you link the artist to relationships in your CRM. This is somewhat different from a team member or a creditor on an expense line: it concerns the relationship data of the artist or the booking office for this artist.

  • Edit address: add the artist's address or change it. This address and the linked contact person will be displayed with the artist on the dashboard. Use a CRM relationship with the category Artist for this.
  • Set relationship or agency: link the artist to the appropriate agency or relationship value from your CRM. The linked relationship will be shown with the artist and, when Live LINK is set up, provides the basis for selecting a suitable Live LINK artist. Choose the agency that represents or manages this artist.
  • Live LINK artist: this field will only appear when there is an active Live LINK with the linked relationship. Here, link the local artist to the corresponding artist of the collaborating agency. In the artist list and availability view, the shared artist will then be replaced by your local artist, so you work with your own name, settings, and data.

Planning

These settings provide default values for new bookings and help Artwin Live correctly assess availability and time between performances. They do not change times of existing bookings.

  • Standard duration of performance: the proposed duration when you make a new booking or request with a time for this artist. The value is also used when a request does not contain an end time or different duration. Check with each booking whether the proposed duration is correct and adjust it there if necessary.
  • Setup time (minutes): the time before the start that the artist usually needs for setup. When checking a new booking, Artwin Live counts this time as occupied time. As a result, the planner will more easily see an overlap or insufficient time between two performances.
  • Teardown time (minutes): the time after the performance that is usually needed for teardown. This time also counts towards the planning check and the available time between two bookings. Together with setup time, this helps signal unrealistic connections and insufficient travel time.
  • Category: group the artist into a separate category, such as Bands, DJs, or Speakers. You use that category as a filter in the artist list, planning, availability view, and when sending availability or a price list. The category is personal: each user can choose their own category for the same artist.
  • Task list: choose which pre-set task list you want to use for this artist. When a booking reaches the status for which tasks from that list are set, Artwin Live adds those tasks to the booking. If you leave this field on Default task list, Artwin Live will use your personal default task list. This choice is also personal; a colleague can use a different task list for the same artist.
  • Always use the 'On request' status for availability list: turn this option on if you do not want an availability list to show the artist as Available, Option, or Occupied. In the availability list and in Live LINK, the artist will then always appear as On request. Your actual bookings and availability in your own planning will not change as a result; only what the recipient of the availability list sees will change.

Change exclusivity

This section only appears for accounts that work with both general and exclusive artists. It determines how the artist is managed within your account.

  • Convert to exclusive artist with team members: use this when you want to manage the artist as your own exclusive artist and invite team members. This option is only available if your account has space to add an exclusive artist.
  • Convert to non-exclusive artist without team members: use this when you no longer want to manage the artist as an exclusive artist with a dedicated team. First, remove all additional team members; then you can convert the artist.

This conversion changes the way you manage the artist. Check Team, Price groups, bookings, and linked processes in advance, so you do not unexpectedly change access or working methods of colleagues.

Good to know

Standards are not fixed booking values. The duration, setup time, and teardown time are used as a starting point for new bookings. Always adjust the times based on the individual booking when a performance differs.

Category and task list are yours. Because these two settings are stored per user, your choice does not automatically change the layout or task list of other team members.

Deleting is separate from these settings. The Delete button removes the artist and is not a regular setting. First, check the associated bookings, team members, and documents before using this action.
