Advancing

Advancing control and locking

With the Advancing check you check the data that a customer fills in for a booking. This way, you can immediately see which answers need attention and you can record for each question that you have checked the answer or want to finalize it.

You can find the answers in the booking, under Advancing. In the booking overview and on the dashboard, Artwin Live also helps you with the Advancing check and Advancing late cards.

From customer response to check

After you have sent an advancing form, the customer fills in the requested data and submits the form. In the booking, you can recognize a customer response by the customer icon next to the question. As long as you have not checked this answer, it is an outstanding question for the Advancing check.

A question that the customer leaves blank will not appear as an answer you need to check. The form is still incomplete; the customer can continue to receive reminders for this as long as there is still an open form.

Checking outstanding questions

Open the booking and go to Advancing. For each question, you see the available actions on the right side. Choose what you want to do for each customer response:

  • Not checked: the default status. The customer response remains an outstanding question and the booking continues to count for Advancing check.
  • Confirmed: you have checked the answer and found it acceptable. The question is no longer outstanding for the check. The customer can still modify the answer as long as it is not locked.
  • Locked: you have checked the answer én you are finalizing it for the customer. The customer can no longer change this field after this.

You can also use Check all off when you have checked all answers from a form. Make sure to check whether the answers are complete and correct beforehand.

What happens after confirming or locking?

Both Confirmed and Locked count as checked. Once all questions from a form have been checked, the form is completed and closed. The customer can no longer fill out that form via the form link.

Use Confirmed when you have fact-checked the answer, but the customer may still adjust it if necessary. Use Locked when the value is final, for example because production is already working with it or because the customer is no longer allowed to change this information.

If you want to reopen a previously checked question, select Not checked again. If a form is no longer fully checked because of this, it will be reopened.

Effect on the dashboard and booking overview

The Advancing check card shows definitive, future bookings with a filled-in customer response that has not yet been confirmed or locked by an agent. Click on the card to directly open the corresponding bookings. In the Advanc. column, this situation appears as To be checked.

Once you have confirmed or locked all filled-in customer responses, the booking disappears from Advancing check. If there are still questions that the customer needs to fill in and the deadline has passed, the booking instead appears under Advancing late and you will see Too late in the overview.

A fully checked form receives the status Completed or Ready. In the booking, you see a checkmark for confirmed questions and a lock for locked questions.

Reminders for the customer

For an open advancing form, Artwin Live schedules reminders for the customer 28, 14, and 7 days before the deadline, and again on the deadline itself. On the deadline, the office also receives a notification when the advancing forms are not yet completed.

Reminders continue as long as there is at least one form still open. A form is ready as soon as it has been received and fully checked, or when it is closed. If all sent advancing forms are ready, Artwin Live stops the still scheduled reminders.

Good to know: the deadline is leading for Advancing late. The Advancing check card is precisely about filled-in customer responses that still need your content check.
