With the day and month planning, you quickly keep track of the availability of your artists. You can see which artists are available each day and which bookings or options are already in the planning. From the day planning, you can also safely share this current availability with a contact person.
Use the day planning for the details of one chosen date. In the month planning, you see an overview of an entire month and can easily navigate to another day. Optionally, choose a category at the top to show only the corresponding artists.
Organizing artist categories
With artist categories, you make the planning clearer, for example for bands, DJs, or acts. You manage these via Account settings > Custom lists and labels > Artist categories. Add categories there and save your changes.
Then assign a category to each artist. Open Artists, select the artist and go to Settings > Planning. Choose the correct category under Category and save the artist. An artist who does not have a category falls under Other.
Hiding the Other category
If you want to see only artists linked to a category in the day and month planning? Then go to Account settings > Preferences and disable Show Other category in day and month planning.
The Other category only disappears if at least one artist category exists. Artists without an assigned category will then not be shown in the day and month planning. Assign these artists a category if you want them to reappear in the overview.
Sharing availability
Open the Day planning, optionally choose a category, and click on Availability. Then choose the option to open or send a link. Fill in the recipient's email address and choose whether you want to share one Date or a Period. You can select a maximum of fourteen days for a period. Enable Show email message before sending if you want to add a personal message before sending.
The recipient will receive a secure link to the availability list. This link remains live connected to your planning: if you change a booking, option, or artist in the meantime, the list will be updated immediately on the next visit. Via the same link, the recipient can immediately send a request for an artist.
Set the validity and content of the shared list via Account settings > Preferences, under Send availability:
- Link expires after (days) determines how long a new link remains valid. The default setting is ten days.
- Show place for confirmed bookings determines whether the place is visible for confirmed bookings.
- Show place for options determines whether the place is visible for options.
- Show Other category determines whether artists without a category also appear in the shared availability list, as soon as there are artist categories.
A link is temporarily valid, but the content is not static. Share the link only with the intended recipient and create a new link when the set validity period has expired.
