Customers: analyze results per client

With Clients in Insights, you can see how bookings, options, and cancellations develop per client. This way, you can recognize which clients yield a lot of margin, where options convert well, and with which relationships cancellations or expired options cost relatively much value.

The table provides a summary per client. You will not see individual bookings, but the collective results of all bookings that fall within your selection.

The data in Insights is normally updated every five minutes. A recent change may therefore be visible slightly later.

Which bookings count?

Clients processes bookings that are not excluded from margins and are not self-bookings.

Within the selected period, different statuses are displayed separately:

  • Bookings: confirmed, non-cancelled bookings.
  • Cancellations: cancelled bookings that were previously confirmed.
  • Options: active options that have not yet been confirmed.
  • Expired: cancelled options.

Requests and other statuses do not contribute to the figures in the table.

Bookings without a linked client are grouped under No client.

Select the period

At the top, you determine for which period you want to view the results.

  • Future: from today without an end date.
  • Month: the entire chosen calendar month.
  • Quarter: the entire chosen quarter.
  • Year: the entire chosen calendar year.
  • Year to date: from January 1 to today.
  • Year ahead: from January 1 with no end date.
  • Custom period: choose your own start and end date.

With the arrows next to the period, you can go to the previous or next period of the same type.

Event date or Date booked

You can determine on which date the selected period is applied.

Event date

With Event date, bookings and options are selected on the date when the event takes place.

Use this view, for example, when you want to know which clients yield the most margin in a particular year or season.

Date booked

With Date booked, the date when a booking is confirmed is taken into account.

This allows you to analyze, for example, how much value you have secured with different clients over a certain period.

If an older booking does not have a confirmation date available, the date on which the booking was added is used.

The chosen date view applies to all figures in the table. A booking, cancellation, or option only counts when the relevant date falls within the selected period.

Filtering results

With the filter panel, you can further refine the analysis.

  • Location: search by the location of the booking.
  • BUMA view: view margin, potential, and loss including or excluding BUMA.
  • Artists: select one or multiple artists.
  • Assigned to: only view bookings from a specific agent.
  • Labels: only show bookings with certain labels.

All filters are combined.

The table is always grouped by client. Therefore, you do not need to choose a separate client filter.

Minimum number of bookings

With Min. bookings, you determine which clients are displayed in the table.

Select All clients to show every client with relevant results.

You can also set a minimum of 1, 5, or 10 bookings. Then, only clients with at least that number of confirmed, non-cancelled bookings within your selection will be displayed.

The minimum only looks at the number of confirmed bookings. A client with only options or cancellations may therefore disappear from the list when you set a minimum.

Understanding the results

Each row in the table represents one client.

  • Bookings: the number of confirmed, non-cancelled bookings.
  • Margin: the total realized margin from these bookings.
  • Avg. margin: the average margin per confirmed booking.
  • Cancellations: the number of bookings that were cancelled after confirmation.
  • Loss: the margin of these cancelled bookings.
  • Cancellation %: the share of confirmed bookings that were later cancelled.
  • Loss %: the share of lost margin relative to realized and lost margin combined.
  • Options: the number of active options that have no definitive outcome yet.
  • Potential: the possible margin of these active options.
  • Expired: the number of options that have been cancelled.
  • Lost: the potential margin of these expired options.
  • Conversion %: the share of completed options that eventually became confirmed bookings.
  • Lost %: the share of lost potential margin relative to realized and lost potential margin combined.

When a percentage cannot be meaningfully calculated, a dash is displayed instead of 0%.

Interpreting percentages

The colored badges help you to quickly identify notable results.

For cancellations and loss percentages, lower values are generally more favorable. A high value may indicate relatively many lost bookings or margin.

For conversion, it is the opposite: a higher conversion means that a larger part of the completed options ultimately led to a confirmed booking.

Always view percentages in conjunction with numbers and amounts.

A client with one cancellation may show 100% cancellation, while the financial effect is limited. Another client may have a lower percentage, but lose much more margin due to larger bookings.

Sorting and viewing totals

Click on a column title to sort the table by client, numbers, amounts, or percentages. Click again to reverse the sort order.

By default, the list is sorted by the highest Margin.

At the bottom of the table, you will find a Total row. This recalculates the results across all visible clients within your selection.

Averages and percentages in this total row are weighted totals. They are not calculated by simply adding and dividing the percentages or averages of individual clients.

All clients that meet your selection criteria are listed in the same table. On smaller screens, you can scroll horizontally to view all columns.

Include or exclude BUMA

With BUMA view, you determine whether BUMA is included in the financial figures.

This choice affects margin, potential, and loss amounts.

Select Including BUMA for the full amounts or Excluding BUMA when you want to analyze the results without the BUMA part.

Always use the same BUMA view for comparisons. Otherwise, you are comparing amounts that have been calculated differently.

Good to know

  • Read percentages together with amounts. A high percentage with few bookings does not necessarily carry significant financial weight.
  • Active options are not yet revenue or loss. They are displayed separately as potential.
  • Conversion only looks at completed options. Active options are not counted yet because the outcome of those is still unknown.
  • The data is updated periodically. Recent changes may take a few minutes to become visible.
  • The event date follows your date convention. A night performance may therefore be categorized under the preceding performance day.

With Clients in Insights, you can see not only which clients generate the most revenue and margin, but also how reliably options convert and where cancellations or expired options have financial impacts.
