Invoices

Adjusting invoice format and content

General settings, such as payment terms, invoice numbering, and reminders, can be found under Account settings > Invoicing. Do you want to determine which information appears on an invoice and how it is displayed? Then go to Account settings > Invoice content.

Adjusting Invoice Content

In Invoice content, you will find three components:

  • Subject booking invoice: the subject for an invoice that belongs to a booking.
  • Subject event invoice: the subject for an invoice that belongs to an event.
  • Description invoice line: the text for the individual invoice lines.

For each component, you choose which fields are displayed. Depending on the component, you might include the artist's name, event name, performance date, location name, and location city. For an invoice line, you can also display the line type and the artist or item name.

Click on a field Hide to remove it, or Show to add it back. Drag the fields using the handle to the desired order. The example line below the fields immediately shows how the result looks.

You can also choose the Date format and set the Separator to divide the components from each other, for example, with a comma, slash, or hyphen.

Extra Information on the Invoice

Under Invoice Layout, you can add a fixed text under Extra invoice text. This will appear below the total amount on the invoice. Use this for additional payment information or a brief notice.

With Show bank account and payment details on invoice, you determine whether this information is printed on the invoice.

Email Templates for Invoices and Reminders

Go to Account settings > Email templates and open the tab Invoices. There you can adjust the standard text and subject that are used when you send an invoice or reminder. First, select the language for which you want to modify the template at the top.

For invoices, there is a standard template for Send Invoice to Debtor. For reminders, there are separate templates for the First Invoice Reminder, Second Invoice Reminder, and Final Invoice Reminder. There are also specific templates available for bulk invoices and bulk reminders.

Open a template with Edit to adjust the subject and email text. The standard texts automatically fill in data such as the invoice number, amount, and payment date. Feel free to adjust the text to your own tone, but leave the available placeholders as they are if you want this information to appear automatically in the email.
