Managing account settings in Artwin Live

You can access your account settings by clicking your profile picture in the top-right corner and selecting Account Settings. This section is used to configure company details, templates, invoices, emails, labels, and agents.

Company details
Enter your company name, address, phone number, and upload a logo. These details are used on all your documents, such as contracts and invoices. Make sure this information is complete and correct before creating bookings. You can also add your VAT number, Chamber of Commerce registration, bank account, and optionally your Buma/Stemra information.

Preferences
Settings for region and date conflicts, and additional note fields if you want to capture more information.

  • Region check: maximum distance (km) and number of days before/after
    Shown as a warning when creating a booking and in the booking overview once created
  • Include private events in the conflict check
  • Activate extra note fields and add labels

Contracts and templates
Manage your contracts and document layout.

  • Set the default contract return term (in days)
  • Decide whether a booking should automatically switch to Definitive after signing
  • Create your own templates or load standard templates (e.g. Dutch Basic Agreement, English EU Agreement, German Agreement)
  • Adjust layout: paper size, header, footer, and logo

Finance and invoices
Here you configure your currency, VAT percentage, and invoice settings. You can:

  • Set a default payment term
  • Define an invoice number prefix
  • Add custom text to invoices (e.g. terms or bank details)
  • Link an email address for bookkeeping (invoices will automatically be sent there)
  • You can also connect to your payment provider via an API key to add payment links to your invoices.

Email
Customize the default emails Artwin Live sends on your behalf.

  • Contract invitations, reminders, invoices, confirmations
  • Edit the text of each email template
  • Manage sender details (name and email)
  • Check SPF/DKIM records for reliable delivery

Labels, categories, and default tasks
Organize your bookings and artists. Add default tasks that automatically appear with every booking.

  • Add labels to bookings
  • Manage artist categories (e.g. DJ, Rap, RnB), used in your Day planning overview
  • Define default tasks that appear automatically with new bookings

Agents
Invite colleagues or external agents to collaborate in your account.

  • Agents can create bookings for all artists
  • Assign permissions:
    • Change account settings
    • View Insights
